Terms and Conditions for Ice Destination Weddings & Luxury Services

Welcome to Ice Destination Weddings & Luxury Services! These Terms and Conditions (“Terms”) outline the agreement between us (“Ice Destination”, “we”, or “us”) and you (“Client”, “you”, or “your”) regarding our wedding planning and luxury concierge services. Please read these Terms carefully before confirming your services.
Key Points:

Services: We will provide services as agreed upon and documented in our invoice.
Fees: Our fees vary depending on your chosen services and event needs. You are responsible for any additional expenses incurred after final invoice payment.
Payments: A retainer and non-refundable 50% deposit are required to secure your booking. Final balance is due 21 business days before the event. Additional payments may be requested for last-minute expenses or extra services.
Limitation of Liability: We are not liable for the quality of third-party services, sickness, injury, acts of God, or natural disasters.
Termination: You may terminate with specific penalties depending on the timeframe. No refunds are granted under any circumstance.
Vendor Relationships: You acknowledge our independent contractor status and responsibility for understanding vendors’ terms.
Confidentiality: Both parties agree to maintain confidentiality regarding each other’s information.
Miscellaneous: These Terms supersede all prior agreements and are governed by Indonesian law.

Services

We will work with you to plan and manage your event according to your specific needs and preferences. Our services may include, but are not limited to, venue sourcing, vendor coordination, budget management, and day-of event coordination. The full scope of services will be clearly outlined in your invoice.

Fees

Our fees are based on the type and complexity of services you require. You will receive a detailed invoice outlining all fees and payment terms. We are transparent about our pricing and will always discuss any additional costs clearly.

Payments

To secure your booking, you will be required to pay a retainer fee and a non-refundable deposit of 50% of the total fees within the specified timeframe. The remaining balance is due 21 business days before the event. We may request additional payments for last-minute expenses or extra services, which will be discussed and documented beforehand.

Limitation of Liability

We carefully select and work with trusted vendors to ensure the quality of your event. However, we cannot guarantee the quality of services provided by third parties. We are also not liable for any unforeseen circumstances such as sickness, injury, acts of God, or natural disasters that may impact your event.

Termination

You may terminate our agreement at any time. However, cancellation penalties will apply depending on the timeframe:

Up to 21 days before the event: Deposit and any additional payments made are forfeited. You are also responsible for reimbursing us for any incurred out-of-pocket expenses.
Within 21 days of the event: Full fee is payable, and you are responsible for reimbursing us for any incurred out-of-pocket expenses.

Relationship with Vendors

We act as independent contractors and do not form partnerships with vendors. You are responsible for understanding and agreeing to the respective terms and conditions of any third-party vendors engaged for your event.

Confidentiality

We and you agree to maintain confidentiality regarding any non-public information obtained during our collaboration.

Miscellaneous

These Terms supersede all prior agreements and are governed by Indonesian law. Should any dispute arise, it will be settled through Indonesian courts. We value your trust and strive to make your wedding experience unforgettable.
